 ▼ How the void date affects the bank reconciliation
  • Voiding a check removes it from the bank reconciliation
  • The general ledger uses the check date and void date to post the journal entry

In the example above, the bank reconciliation will be off with the general ledger by $100.00 

  • In June 2024, the system posts the check to the general ledger and bank reconciliation. Bank reconciliation agrees to GL

  • After the void, the bank reconciliation for June 2024 doesn't include the original check

  • The general ledger doesn't know about the void until July 2024, causing a discrepancy

 ▼ To reconcile your bank statement

Option 1: Make a pencil note

  • Make a pencil note regarding the issue, noting that the issue will clear itself in the following month.

Option 2:  Paper audit trail of the transaction

Post a bank transaction to represent the original check

  1. Select CM, Transactions, Enter Bank Transactions.
  2. For Transaction Type, select Charge.
  3. Enter the Amount of the original check.
  4. Enter a Description that’s easy to identify.
  5. Use the Date of the original check.
  6. UNCHECK the Post to GL checkbox.
  7. Post.

Post a bank transaction to represent the void 

  1. Select CM, Transactions, Enter Bank Transactions.
  2. For Transaction Type select Credit.
  3. Enter the Amount of the original check.
  4. Enter a Description that’s easy to identify. 
  5. Use the Date of the VOID.
  6. UNCHECK the Post to GL.
  7. Select Post.

Clear the transactions in your bank reconciliation

  1. In the June bank reconciliation, DO NOT clear the charge. Your bank reconciliation will still be in balance with your bank and will also balance to GL.
  2. In the July bank reconciliation, CLEAR both the charge and the credit together. This will offset the check and void to stay in balance.
