Remove an original check from Cash Management to reuse the check number
Description

Overview of the removal process:

  1. Confirm the check status is Reconciled.
  2. Move the check to the History file in the current company folder.
  3. Move the check to the History file in a separate company folder.

Considerations

  • If the check has a status of Open and is a valid check, then you can’t reuse the check number
  • Checks must have a status of Reconciled to move
  • If you need to move more than a few checks, it’s best to:
    • Perform the move steps on the file server
    • Print the report to file using a unique file name (versus overwriting another file)

 

Confirm the check status 

To Move, the check must have a status of Reconciled, not Cleared or Open.

  1. Go to Cash Management, Inquiry, Entries, Checks by Bank.
  2. Select the Register file.
  3. Double-click the bank account.
  4. Locate the check.
    Note: If you can't locate the check, try the History file instead.
  5. Add the column for Statement date.
  6. Confirm if the column is blank or contains a date. Make note of the date for the move process.
    Note: If the Statement date is blank, the entry hasn’t been reconciled. See steps to change the reconciliation status.
  7. Click Close.
  8. Repeat the steps for the History file, if needed.
  9. If you located the check in the Register file, continue to the next section. If you located the check in the History file, skip to the Move History to History section.

Move the check from the Register file to the History file

  1. Go to Cash Management, Tools, Move entries, Register to History.
  2. Click OK if you receive the message The CM History Transaction file wasn’t found. The file will be created.
  3. For the Beginning statement date and Ending statement date, enter the Statement date from the step 6 above.
  4. Click Conditions.
  5. Select Check from the CM Transaction list.
  6. Select Equal to for the operator and enter the check number for the Value.
    Notes:
    • If you have more than one bank account, Add an additional condition for Bank Account, Equal to the bank account ID
    • If you need to move a range of consecutive check numbers, change the conditions to: Check Greater than or equal to [first check number in range] AND Check Less than or equal to [last check number in range]
  7. Click OK.
  8. Click OK.
  9. Click Start.
  10. Review the journal to verify the check moved.

Move the check from the History file to a different History file

  1. Go to Cash Management, Tools, Move entries, History to History.
  2. Change the Look in folder location. The Destination file must be different than your current data folder.
  3. Name the destination file History and click Open.
    Note: When prompted for a Destination File Selection, select a folder to store the checks. The file name must be History, but you can store it in any folder.
  4. Click Yes if you receive the message, "File not found. Okay to create?".
  5. Enter the Statement date from Step 1 for the Beginning statement date and Ending statement date.
  6. Click Conditions and enter the same conditions in the Move Register to History section.
  7. Click OK.
  8. Click OK.
  9. Click Start.
  10. Review the journal to verify the check moved to History.
  11. The check is now available to use again.
