For Sage 100 Standard and Advanced editions: - To verify the user's Role permissions to Rebuild Key Files:
- Open Library Master, Main menu, Role Maintenance
- For Role, select a role assigned to the user
- Access the Tasks tab
- Expand Library Master, expand Miscellaneous Tasks
- Verify the Rebuild Key Files check box is selected (checked)
- Access the Security Events tab
- Expand Library Master
- Verify the Allow User to Access File Maintenance Utilities check box is selected (checked)
- Click Accept
- To Rebuild Key Files:
- Expand Library Master, Utilities, Rebuild Key Files.
- A warning message appears:
- Click OK only if you are familiar with this utility
- Click Cancel if you are unfamiliar with this utility, and contact your Sage Software business partner or a qualified Sage Software Customer Support analyst
- At the Rebuild Application Key Files window, select the applicable company code and module.
- Select the Rebuild check box for the individual file(s) that must be rebuilt. Or, click the Select All button to rebuild all key files for the application module for that company.
- Select rebuild options. Depending on version, two of the following checkbox or radio button options will be available:
- Select Integrity Check perform a complete validation of each record, verify the data dictionaries, and check for read/write capability. A text file is launched in Notepad providing information about the integrity check. If an error occurs, except in the case that an empty required field is encountered, you are prompted with a message to rebuild the file. If an empty required field is encountered, it is documented in the text file so that you can manually repair the file. Clear this check box if you do not want to perform an integrity check.
- Select the Optimize File check box to rewrite the file to a new file, remove excess empty data blocks, and arrange the primary keys in alpha-numeric order. A text file is launched in Notepad providing information about the file optimization. Clear this check box if you do not want to optimize the file.
- Note: A backup file with the extension .OLD will be created
- Select the Scan Files check box to return the number of records that will be recovered before rebuilding the files. Scanning the files is not required, but it is highly recommended
- The Save Original File check box is automatically selected. Using this feature is highly recommended.

- Click Proceed.
- If the Scan Files check box was selected, the Scanning (Module and file description) window shows the number of records to be recovered. After the scan, a message prompts you to proceed.
- If most or all of the records will be recovered, click Yes. If more records are recovered than expected, also click Yes.
- If a large number of records will be lost, click No, and seek assistance to determine why so many records are damaged. A larger underlying issue may exist
- On the Rebuild Key Files Error Log window, click Print or Preview. The error log provides detailed information about the files that were repaired, including information about records that were removed.
Note: Printing the error log is not required, but it is highly recommended. This log cannot be reprinted, and it is useful if the lost records must be re-created. - When the Rebuild Key Files window appears again, click Cancel to close the window.
- It is generally recommended to run the Rebuild Sort Files utility for an application module after rebuilding key files. For more information, see the Related Resource section.
For Sage 100 Premium: Key files cannot be rebuilt on SQL versions. Database maintenance must be performed.
