| Description | Rules governing the account structure - Design your chart of accounts carefully to ensure the best system performance.
- Start by deciding the structure of the account number.
- Use the General Ledger module to create account numbers.
- Enter up to 32 alphanumeric characters for each account number.
- Choose a structure with at least one segment or up to 10 segments.
The following rules apply to the creation and maintenance of account segments - Each segment can be either numeric or alphanumeric.
- The first segment must be the main account. The main account size can be a minimum of three characters and a maximum of 15 characters.
- The description for the first segment is "Main" and you can't change it.
- The remaining segments 2 through 10 are optional subaccounts. They can have a size between 1 and 15 characters.
- Segments 2 through 10 can have up to a 15 character description.
- The system uses the description to refer to that particular segment.
- It’s important to plan how you want to set up your account structure.
- These additional rules govern the maintenance and creation of account segments:
- You can make a segment larger but can't make it smaller.
- You can add a segment but you can't remove it.
- You can change a segment type from numeric to alphanumeric.
- You can't change from alphanumeric to numeric.

- Sage doesn’t assist in setting up account structures.
- Consult a Certified Public Account or Tax Advisor for further assistance.
NOTE: After you create the General Ledger account structure, you can't delete or reduce a segment. Set up or Modify General Ledger Account Structure - Open General Ledger, Setup, Account Structure Maintenance.
- In the Type list, select Alphanumeric or Numeric.
- You can change a numeric segment to alphanumeric. However, you can't change an alphanumeric segment to numeric.
- In the Size field, enter the segment size.
- In the Description field, enter the segment description.
- Name the first segment "Main".
- Click Accept.
- Click Yes to the message.
- "You have made a change to one or more of the components that make up your account structure. To continue, your General Ledger account files will be modified to reflect these changes. Do you want to continue".
- Use the Account Structure Change Wizard to define the changes.
Increasing an Account Segment already defined - Open General Ledger, Setup, Account Structure Maintenance.
- Increase the Size of the applicable segment you are changing.
- Click Accept.
- Click Yes to the message.
- "You have made a change to one or more of the components that make up your account structure. To continue, your General Ledger account files will be modified to reflect these changes. Do you want to continue".
- At the Change Segment Size window, select how to zero fill the segment.
- In the field "Where should zeros be placed"
- Select At the Beginning or At the End.
- Click Next.
- Click Finish.
