What information is stored on each tab in Contracts?

  • General tab: Use this tab to enter general descriptive information about the contract, including the status.
  • Billing tab: Use this tab to enter information relative to the billing of this contract. The Billing application uses this information to help determine the proper method of billing this contract.
  • Invoice tab:Use this tab to enter information relative to the invoicing of this contract. The Accounts Receivable application uses this information to help determine the proper method of invoicing this contract.
  • Checklist tab: Use this tab to enter milestone information about the contract. This information is for reporting and inquiring.
  • References tab: Use this tab to enter information about the how the customer refers to the contract and whom to contact for more information about the contract. This information is for reporting and inquiring.
  • Text tab: Use this tab to enter the scope and terms of the contract. This information is for reporting, inquiring, and may be included on some Billing invoices. For additional information on how these fields are used on Billing invoice, see the Help topic titled "About the invoice text retrieval process in the Billing application."
  • Accounts tab: Use this tab to enter an account prefix for General Ledger transactions that are created by Accounts Receivable and are based on this contract.
  • Contract Totals tab contract: Use this tab to view contract totals for a contract. These totals are the sum of all contract items that make up a contract. Amounts included in this window are Original, Approved changes, and Revised contract amounts for each amount type (Labor, Material, Subcontract, Equipment, Overhead, Other, and Total billed).
  • Billed Totals tab contract: Use this tab to view billed amounts for a contract. These totals are the sum of billed amounts for all contract items that make up a contract. Amounts included on this window are To-date, Year-to-date, Next year, Month-to-date, and Next month for each amount type (Labor, Material, Subcontract, Equipment, Overhead, Other, and Total billed). The current month and year that determine whether amounts are added to this or next month/year totals, can be viewed in the CN Settings window.
  • Adjustment Totals tab contract: Use this tab to view total invoice adjustments for a contract. These totals are the sum of invoice adjustments for all contract items that make up a contract. Invoice adjustment amounts include only AR Debits, AR Credits, and Bad Debt activity. Amounts included in this window are To-date, Year-to-date, Next year, Month-to-date, and Next month for each amount type (Labor, Material, Subcontract, Equipment, Overhead, Other, and Total billed). The current month and year that determine whether amounts are added to this or next month/year totals, can be viewed in the CN Settings window.
  • Retainage Totals tab - contract: Use this tab to view retainage totals for a contract. These totals are the sum of retainage for all contract items that make up a contract. Retainage totals included on this window are Held, Billed, and Balance for both retainage and tax retainage. To-date, Year-to-date, Next year, Month-to-date, and Next month retainage totals are displayed. The current month and year that determine whether amounts are added to this or next month/year totals, can be viewed in the CN Settings window.
