Information

Any cost code added with the new increased first section in the data folder will print at the end of your cost code reports. For example, if you increase it from two to three, you'll have cost codes with both two and three digits in the first section. Sage 300 CRE reports will sort from smallest to largest length if you choose to have varying lengths of cost code IDs (first section). To modify this sort order, customize your reports to sort numerically rather than by length.

You can create up to four sections with a maximum of 12 characters (excluding punctuation). As you type, a sample of how cost codes will appear when viewed or printed shows at the top of this window. You don't have to create more than one section. If you don't create sections, the maximum size is 12 characters for the cost code.

Change requires a Key Change

A key change is necessary to change the Cost Code ID for the following situations.

  • When the Cost Code format has sections and you want to change a section other than the first section
  • You want to add or remove a section from the Cost Code ID format

Change doesn't require a Key Change

Use the steps below to change the Cost Code ID format for the following situations.

  • When the Cost Code format is just one section, you can change the size
  • When the Cost Code format has sections, you can change the size of only the first section
  • Changing the punctuation that separates the sections (for example: from a dash to a dot or vice versa)

Change the format

Steps to change the size of the first section of a Cost Code ID, or to change the punctuation character.

  1. Have all users exit all Sage 300CRE applications.
  2. Start Sage Desktop.
  3. Go to Applications, Common Tasks, Tools, File Tools.
  4. Select Rename, and then click Next.
  5. Select Browse, select the Master.jcm then click Open.
  6. Enter MasterOriginal in the New file name field.
  7. Click Next four more times.
  8. Click Finish.
  9. If you use Project Management, use steps 3 through 8 to rename the Master.pjm to MasterOriginal.pjm.
     NOTE: Don't open Job Cost or Project Management until you rename the files back to their original names in steps 16 and 17 below. 
  10. Go to Applications, Common Tasks, File, Company Settings, Custom Descriptions.
  11. Scroll to the JC Cost Code then click in the Description field.
  12. Click Set Up Sections.
  13. Change the format as needed. Remember the following guidelines:
    • You can change the Size for Section 1
    • Don't change the size for any other sections
    • You can change the character for the separator, but you can't delete the separator
  14. Click Test Entry to verify the size is adequate, then click Close.
  15. Click OK to exit Custom Descriptions.
  16. Use steps 3 through 8 to rename the MasterOriginal.jcm back to Master.jcm.
  17. If you use Project Management, use steps 3 through 8 to rename the MasterOriginal.pjm back to Master.pjm.
  18. In Job Cost, select: File, Setup, Cost Codes.
  19. Enter a new cost code ID to verify the format change is correct. You can delete the cost code if you don't need it.
