How do I bill retainage by invoice or distribution in Accounts Receivable?

To select specific invoices or invoice distributions for which to bill retainage, follow these steps:

  1. Go to Accounts Receivable, Tasks, Bill Retainage.
  2. In the Bill Retainage window, enter the customer ID and any information such as contract or job to limit the invoices to be displayed in the next window. You can click List to select from a list when in these fields. The more that you put in, the less will show in the next window.
  3. Click Select Invoices.
  4. The Invoice tab on the Select Invoices window displays a list of invoices.
    Note: Click Date Filter to further limit what displays on the list. In the Date Filter window, you can choose whether to use invoice or accounting date, and you can enter a beginning and ending date. Click OK to accept your entries and return to the list of invoices.
  5. Double-click the checkbox in the Bill column to select an invoice to bill retainage. You can also double-click the checkbox to deselect an invoice. The Retainage Amount to Bill column prefills with the remaining retainage left to bill (Total Retainage Amount less the Retainage Billed to Date).
  6. If you want to bill only a portion of the remaining retainage to bill, click Amount and enter the amount of retainage to bill in the Amount to Bill window. Click OK to return to the Select Invoices window.
  7. If you want to bill retainage for certain invoice distributions only, select the invoice on the Invoice tab and click the Distributions tab.
  8. Double-click the checkbox in the Bill column to select a distribution. The Retainage Amount to Bill column prefills with the remaining retainage left to bill (Total Retainage Amount less the Retainage Billed to Date). To deselect a distribution, double-click the checkbox.
  9. If you want to bill only a portion of the remaining retainage to bill for a distribution, select the distribution, click Amount, and enter the amount of retainage to bill in the Amount to Bill window. Click OK to return to the Bill Retainage window.
  10. Continue to select other invoices or distributions as needed. You can also click Select All or Deselect All to select or deselect all invoices.
  11. When you are finished selecting invoices or distributions, click OK on either the Invoice or Distributions tab to return to the Bill Retainage window.
  12. In the Bill Retainage window, accept the prefilled invoice and draw IDs or enter other ones.
    Note: One retainage billed invoice is created for all invoice and distribution selections made.
  13. Click Bill. A new invoice is created for the customer and the Retainage to bill amount displayed on the Bill Retainage window.
    Note: If you click Select Invoices again after you click Bill, another retainage billed invoice for that customer is created.
  14. Click Finish to exit Bill Retainage. A journal lists invoices and amounts, and a retainage invoice prints. You can change the Bill Retainage Invoice format in File, Company Settings, AR Settings, Forms and Journal Settings.


Notes:

  • If you selected the Tracking tax retainage box in AR Settings, tax retainage columns are included on the Invoice and Distributions tabs in the Select Invoices window. They are also included on the Amount to Bill window.
  • The title of the Invoice tab may be either Invoice or Draw, depending on what you selected as Primary ID in File, Company Settings, AR Settings, Entry Settings.
