How do I move General Ledger transactions from my current file to another current or history file?

You can move transactions from a Current.glt file to a History.glt file, from a History.glt file to another History.glt file, or from a Current.glt file to another Current.glt file. You cannot move transactions from a History.glt file to a Current.glt file.

Note: A Master.GLM file must exist in the source folder. If no master file exists, no transactions will move.

Move transactions from a Current.glt file to a History.glt file as follows:

  1. Use File Tools to create a backup of your data files. Select the link below for detailed steps.
  2. Instruct all other operators to close all Sage 300 Construction and Real Estate applications.
  3. From the Tools menu, select Move Transactions, Current to History.
    • Note: If a History.glt file does not exist, you are prompted to create one.
  4. Enter a date in the Cutoff date box in MMDDYYYY format. This task moves all transactions with an Accounting date on or before the date you enter.
  5. Click Ranges, select a specific range of accounts, and then click OK. This step is optional.
  6. Click Conditions if you want to add other conditions to the transactions moved. This step is optional.
  7. Click Start to move your transactions and print the journal to a file or printer.

Move transactions from a Current.glt file to another Current.glt file as follows:

  1. Use File Tools to create a backup of your data files. Select the link below for detailed steps.
  2. From the Tools menu, select Move Transactions, Current to Current.
  3. In the Move Transactions Current to Current - Destination File Selection window, in the Look in list, browse to select the data folder that contains the Current.glt file that you want to move the transactions to.
  4. Select the Current.glt file, and then click Open.
    • Note: If a Current.glt file does not exist in the destination folder, you are prompted to create one. Click Yes to create the file.
  5. Enter a date in the Cutoff date box in MMDDYYYY format. This task moves all transactions with an Accounting date on or before the date you enter.
  6. Click Ranges, select a specific range of accounts, and then click OK. This step is optional.

Note: When you use File Locations (File, Company Settings, File Locations), your General Ledger transaction files may have different names. When you move transactions from one named file to another, you are prompted to select the file you want.
