If the apply credit transaction is not posted, use File Tools to rename the New.pmt file as follows:
Note: Verify the Transaction Type is Applied Credit 1 and Applied Credit 2 by using the Transaction Information inquiry and selecting the New PM Transaction file.
- Confirm that the applied credit batch is the only batch in the new transaction file.
- In Property Management, from the Tasks menu, select Post Entries.
- Click Ranges to confirm the apply credit batch is the only batch listed. If there are no other batches, click Cancel then proceed to step 2.1.
- If there are other batches, select the other batches but do not select the apply credit batch. Click OK, then Start.
- Review the journal to confirm the other batches posted. Address any rejections as needed.
- When everything is posted that should be posted, continue to step 2.1.
- Use File Tools to rename the New.pmt file.
- From the Tools menu, select File Tools.
- Select Rename and click Next.
- Click Browse and select the New.pmt file.
- In the New file name box, type new. For example, new12-05-2017 (use today's date in the file name to make the file easier to locate if you need it later).
- Click Next.
- Click Start and then click Finish.
The apply credit transactions are removed, and the open credit is reinstated. You can apply it to the correct charge as usual or leave it as an open credit.
After renaming the file and verifying it resolves your issue, move the renamed file out of the root of the company data folder into a backup folder, junk folder, or other folder. Leaving renamed files behind can cause issues with ODBC and SQL Replicator and possibly third-party software, particularly if it is a corrupt file or an old file that will not be used.
Note: If it is a file where named files are used (Ask Name is selected in File Locations for the file type) or it is a named history file, then the file does not need to be moved.
To move the renamed file:
- In any accounting application, from the Tools menu, select File Tools. In any estimating application, from the File menu, select File Tools.
- Select Move and click Next.
- Click Add Files.
- Browse to and select the file(s) to move, and then click Open.
- Next to the Destination field, click Browse. Browse to the location and folder to move the file. Note: If you want to keep the file(s) with the same company data folder, you can create a new subfolder within the company data folder.
- Select the folder then click OK.
- Click Next to begin the validation process. The following validation occurs:
- Note: A green circle indicates the validation completed successfully. A red circle indicates the validation completed with exceptions. Any exceptions appear in the window so that you can fix the issue prior to continuing the process.
- Scan file system to build file list - Uses the selected folders and files to build a list of files to move.
- Validate data files - Scans the selected files and folders to verify that the data structure is intact, that all required data components are present.
- Check for files that might be overwritten - Verifies whether any files in the file list already exist in the destination location.
- Ensure files are not in use - Verifies whether any files in the file list are in use.
- Verify space is available for the operation - Verifies whether sufficient disk space is available.
- Click Next.
- Review the file(s) that you are about to move. The State column indicates whether you decided to include or skip the file. You can include or skip files as follows:
- Select a file and click Skip to exclude the file and change the State to Skip.
- Select a file and click Include to include the file and change the State to Include.
- Click Include All to include all files and change their State to Include.
- Click Skip All to skip all files and change their State to Skip.
- Click Next.
- Verify that the information in the Execution Summary window is correct. If not, click Back to make corrections.
- Click Next to move the file(s).
- Review the information in the Operation Journal window.
- If you want to print your journal to a file or printer, select Summary or Detail from the list depending on the level of detail that you want to see. Click Save to save your journal to a text file. Click Print to print your journal to a printer.
- Click Finish.
