If a lease has a Future status, you must cancel the lease before you can delete it.

  1. From the Tasks menu, select Manage Leases, Start Lease.
  2. In the Start Lease window, all future leases appear in the list. Select the appropriate lease and click Cancel Lease.
  3. In the Start Lease - Cancel Lease window, verify the amounts in the Net due tenant and Net due company boxes are both 0.00.
    • If there is a balance in the Net due tenant and Net due company boxes, then click Reconcile Account to bring the balance to 0.00. For detailed information on using Reconcile Account, click Help in the Start Lease - Reconcile Account for Canceling window.
  4. After you finish reconciling the account, click OK to return to the Start Lease - Cancel Lease window.
  5. Click OK to complete the Cancel Lease process and then click Close.
  6. Post any transactions created by the Start Lease - Reconcile Account process.
  7. Use File Tools (Tools, File Tools) to make a backup of your Property Management files. See article 17256 "How do I use File Tools to back up data files?" for more information.
  8. Review the Detailed Aged Receivable report (Reports, Collections, Detailed Aged Receivable) to verify that the lease balance is zero and that no open items exist.
  9. Run Clear Paid Items for the leases you want to delete. See article 17311 "How do I run Clear Paid Items in Property Management?" for more information.
  10. Delete the lease with a Canceled status
    1. From the Tasks menu, select Manage Leases, Change Lease.
    2. Select the lease you canceled above. On the General tab, Dates/Status tab, in the Lease status box, verify that the status is Canceled.
    3. Click the  button to delete the lease.
    4. The following message appears: "Open items may exist for this lease. Review the Detailed Aged Receivable Report (Reports, Collections, Detailed Aged Receivable) before deleting a lease to verify no open items exist for the lease." If you reconciled the lease to a 0.00 balance, click OK.
    5. When the message "Delete this lease?" appears, click Yes.
