How do I bill retainage using Enter Quick Bill?

You can bill retainage to a customer or job if you previously held the retainage on another Quick Bill invoice.

  1. Go to Billing, Tasks, Quick Bill Invoices.
  2. Click the asterisk button to create a new Quick Bill invoice.
  3. In the Customer box, type or select the customer.
  4. In the Job box, type or select the job ID (if applicable).
  5. In the Invoice form box, select Bill retainage.
  6. Type or accept the prefilled invoice information in the Invoice, Draw, Invoice date, Due date, and Billing address boxes.
  7. In the invoice entry grid, enter information in the Extra and Cost Code boxes if you held retainage at those levels.
    Note: The line item's Description prefills with Retainage but you can modify the description.
  8. In the Ret Billed box, type the retainage billed amount or click Prefill Item.
    Note: It is possible to overbill retainage when you enter retainage invoices in Enter Quick Bill. Verify that the retainage billed amount on the invoice does not exceed retainage held for the customer and job before you post the invoice in Billing. Use a Bill Retainage Preparation report in Accounts Receivable (Reports, Bill Retainage Preparation) to verify the current retainage held amount for the customer or job.
  9. When you are finished, either click Print to print the invoice or click Finish to exit the Enter Quick Bill task and print the invoice at a later time.
  10. From the Tasks menu, select Post Invoices.

Note: If retainage is not billed 100%, then the amount billed is prorated to each distribution.
