Cause |
The system Suspense account specified in GL Settings has an amount in the Current Balance field. This may be the result of one or more of the following situations:
- Entries are posted to the suspense account for the fiscal year you are closing.
- You use both accounting methods, Accrual and Cash, and there is a Current Balance on the suspense account for one or both accounting methods.
- The Suspense Account specified in GL Settings belongs to a prefix other than the one you are closing.
- The previous year was closed with a balance in the suspense account and it has not been corrected.
|
Resolution |
- Verify the system Suspense Account in General Ledger File, Company Settings, GL Settings.
- Verify if the balance and entries to suspense are for the fiscal year you are trying to close.
- In General Ledger, from the Inquiry menu, select Account.
- Select the Current file.
- Click Conditions and enter the following condition: Account Type equal to Suspense
- Click OK twice.
- If you use the cash accounting method or both methods, click the Select button to add the following column: CCurrent Balance (this is the Current Balance for the Cash accounting method)
- Note the balances under Current Balance and/or CCurrent Balance.
- Double-click on the account number to drill down to the transactions. Review the transactions to determine what is making up the balance in suspense.
- Note: You can also use Reports, Entries, Entries by Account and enter the date range for the fiscal year you are closing. Use Ranges to select the suspense account. Use Conditions to select Accrual or Cash method as needed.
- Make any necessary corrections to move the amounts out of the suspense account to the correct accounts. You may need to make the correction in the originating application. See article 17757 "How do I clear the balance in a suspense account posted in the current fiscal year?"
Notes:
- If the entries are not for the fiscal year you are closing, for example you are re-closing the prior year and the suspense entries are for the current year, then you may proceed with the Close Fiscal Year task and bypass the warning message.
- If the suspense account with a balance belongs to a prefix other than the one you are closing, then you may proceed with the Close Fiscal Year task and bypass the warning message.
- See article 17730 "Why does the suspense account show a balance after I posted an adjustment?" if the balance in suspense is from a prior fiscal year.
