| Late charges did not assess for a lease even though they are late |
Cause | This may be caused by one or more of the following. You may have to verify each of these: - Next Fee Date is incorrect
- The Next Fee Date on the lease late charge setup is after the Cutoff date entered when generating late charges.
- The Next Fee Date is initially set by the system based on the Charge Date of the first charge on the lease that is subject to late charges. If the lease is a mid-month move in, the first charge may have a charge date that is in the middle of the month.
- For example, for a lease that moves in 6/15/2016 and has a prorated charge created with a charge date of 6/15/2016, the Next Fee Date on the late charge processing will get set using the 15th day of the month. If the late charge is set with a monthly frequency, the Next Fee Date will advance to the 15th of each month. If the Cutoff date entered during Generate Late Charges is before the 15th, this lease will not be assessed a late fee.
- Repeat Factor is Once/Delinquency
- Subject to Late Chgs was not selected for the charge type on the Lease Charge Controls at the time the charge was posted.
- To verify:
- PM Inquiry, Transaction Information.
- Select the Current file then click OK.
- Select the Lease file then click OK.
- Select the Property file then click OK.
- Use Conditions (blue funnel button) to filter the transactions to the tenant or lease.
- Double-click on any transaction for the lease to drill-down to the Open Item records.
- Add a column for Subject to Late Charges. Refer to article How do I add or edit a column in an inquiry?
- Find the charge in question (use Conditions if needed) and note if the Subject to Late Charges column shows marked (X) or unmarked. Those that are unmarked are not subject to late charges.

Resolution | Next Fee Date is incorrect Either expand the Cutoff date entered during Generate Late Charges to include the Next Fee Date or change the Next Fee Date to the first of the month to match the recurring charge date. To change the Next Fee Date: - Turn on Audit Setup Activity. Refer to the article How do I use Audit setup activity?
- From the Tasks menu, select Manage Leases, then Change Lease.
- Select the lease.
- Select the Late Chgs tab.
- Select the appropriate late charge Step tab.
- Change the Next Fee Date to the first of the month.
- If other late charge Steps are used, repeat for the additional Step tabs.
- Click Close.
- Repeat steps 2 through 8 for any additional leases.
- Click Close when finished.
- Turn off Audit Setup Activity. Refer to the article How do I use Audit setup activity?
Repeat Factor is Once/Delinquency Change the Repeat Factor to Once/Delinquent Pmt. - From the Tasks menu, select Manage Leases, then Change Lease.
- Select the lease.
- Select the Late Chgs tab.
- Select the appropriate late charge Step tab.
- To the right of the Late Charge Type, click the ...> button.
- Change the Repeat Factor to Once/Delinquent Pmt.
- Click Close.
- Repeat steps 2 through 7 for any additional leases.
- Click Close when finished.
Subject to Late Chgs was not selected - Select Subject to Late Chgs on the Lease Charge Controls for each charge type that should be subject to late charges:
- Go to PM Tasks, Manage Leases, then Change Lease.
- Select the lease.
- Select the Chg Controls tab.
- For each charge type where late charges should be evaluated, mark the Subject to Late Chgs box.
- Repeat steps 2 through 4 for each lease that needs to be changed.
- Click Close when finished.
NOTE: This setting is not retroactive. It will only apply to new charges that are created. Continue with step 2 below to update existing charges. - Select Subject to Late Charges on existing charges that should receive a late charge:
- Go to PM Tasks, then Change Entries.
- Select the Tenant Transactions tab.
- Select the appropriate filters and/or conditions to get to the transactions on the lease, then click Find. Note: Not every field is required for the filter. Select only what you need to find the transaction(s).
- Find the charge, then click Edit.
- Click the Miscellaneous tab.
- Mark the Subject to late charges box.
- Click OK.
- If you have other charges to select, for this lease, repeat steps 4 through 7 for each charge.
- Click Close when finished with the lease.
- If you have other leases to correct, repeat steps 3 through 9 for each lease.
- Click Close when finished.
- Optional: Select Subject to Late Chgs on the Property Charge Controls to make this the default settings when new leases are created:
- Go to PM Setup, then Properties.
- Select the property.
- Select the Chg Controls tab.
- Mark the Subject to Late Chgs box for each charge type that should be subject to late charges. This will become the default setting when new leases are created for this property.
- Repeat steps 2 through 4 for each property that needs to be changed.
- Click Close when finished.
