Audit Trail reports for viewing history
Description

Sage 100 Contractor saves change history based on the retention settings in Database Administration.

By default, it keeps the history for 180 days, but you can change this period.

Many Sage 100 Contractor data entry windows have a View menu that shows change history for selected records.

Resolution

Company administrators can view user activity and change history for selected records and transactions.

▼View record history

The program windows with the View menu allow you to access the Record history.

  • Go to View, Record history. This opens a View History window and shows changes made to the current record.
  • Each change includes:
    • The database table that was updated
    • Whether it inserted, modified, or deleted the data
    • The date and time of the change
    • The login ID of the user who made the change
    • The computer ID where the change happened
    • The application used (for example, Sage 100 Contractor, Database Administration, or SQL Server Management Studio)

 TIP: If the list is long, you can filter it by table, user, or application. 

To see more details about a specific change, click the row. It opens the History Details window, showing the field values before and after the change.

  • Go to View, Field history.
  • This highlights changed fields in yellow.
  • To see details for a specific field, click the field and press F12.
  • Sage 100 Contractor will show:
    • Who made the change
    • When the change happened
    • The field values before and after
    • The application used

 NOTE: You can’t edit the record while View Field History is on.

1. Open the Report

Go to the System Menu and open 7-7 User Activity Report.

2. Choose Report Settings

  • Select the user from the User list whose activity you want to see.
  • Set the Date range for the activity.
  • Check the box Show only sections with activity to hide areas with no changes.

3. Display the Report

  • Click Display Report. It shows a list of program areas where this user made the changes. Each section shows records entered, modified, or deleted.

4. View Change Details

  • Click the right arrow next to the type of change you want to explore.
  • Sage 100 Contractor will show a grid listing the changes.

To see more details about a specific change:

  • Select the change in the grid.
  • Click Go to Record to open the actual record.
  • Click View Change to open a History Details window.
    This window shows each field’s value before and after the change, with changed data in bold.

5. Finish or Start a New Report

  • To start a new report, click New Report and repeat the steps.
  • Click Close.

▼Accounts payable payment history for an invoice

  1. Select the invoice for which you want to view a payment history in 4-2 Payable Invoices/Credits.
  2. On the Options menu, click Payments.

 TIP: You can use the payment history to reconstruct account balances for aging reports. To do this, first determine the fiscal period to recreate the aging. Then subtract the payments made after that fiscal period from the ending balance. 

▼Employees' raise history

1. Open the Employee Record

  • Go to the 5-2-1 Employees window.
  • Use the data control box to find and display the employee whose pay history you want to view.

2. Open Raise History

  • With the employee record open, click Options > Raise History or click the [Raise History] button.

3. Add Pay History (if needed)

  1. Go to the first blank line in the grid.
  2. Click the Date field, then click the down arrow to open the calendar.
  3. In the calendar, double-click the date when the new rate started.
  4. In the Rate Type cell, enter the rate code:
    • Regular – 1
    • Salary – 2
    • Commission% – 3
  5. Press Tab to move to the next field.
  6. In the Original Amount cell, enter the previous pay amount, then press Tab.
  7. Choose one of the following ways to enter the raise:
    • In the Change Amount cell, type the amount to add or subtract.
      Sage 100 Contractor will automatically calculate the percent change.
    • In the Change Percent cell, type the percent increase or decrease.
      Sage 100 Contractor will automatically calculate the amount change.

▼View audit history

The system automatically performs a full audit whenever you change the default posting period or close the fiscal year. If it finds any accounting issues, it logs them for review.

  1. Open 1-6 Period and Fiscal Year Management.
  2. Click the View Audit History link. It opens the Audit History window, showing a list of all recorded audits.

▼Accounts Receivable invoice payment history

When you post a payment to an invoice in Sage 100 Contractor, it creates a new record. If you then void or reverse that payment, it updates the invoice balance and logs the changes.

  1. Open 3-2 Receivable Invoices/Credits.
  2. Select the desired invoice to view the payment history.
  3. On the Options menu, click Payment History.

▼Payment history on service work

Each time you post a payment to an invoice, the system creates a separate payment record. You can select the specific invoice to show the individual payment history.

  1. Open 11-2 Work Orders/Invoices/Credits.
  2. Using the data control, select the record.
  3. On the View menu, click Payments.
