When you post a transaction (debit or credit memo, check or void check) against an invoice, Sage BusinessWorks posts a detail record and also updates the balance stored with the invoice itself. If the transaction does not post in both places (or if the detail is lost due to a minor data problem) the Aging or Open Invoice Report with the "Current" box checked will reflect a different balance than the report as of today's date. This occurs because Sage BusinessWorks uses the balance stored with the invoice itself when the report is generated with the "Current" box checked, but relies on transaction detail to determine the invoice balance when the report is generated "as of" a specific date. Here's how to determine if a data error has affected your Open Invoice or Aging Report: - Print the G/L Account Detail Report (G/L, Reports, Account Detail Report) for the accounts payable or accounts receivable account, selecting the current month as the Report period. Look for transactions that posted to a future month. (Future transactions show an asterisk (*) in the left-hand margin.) Note the date of the newest transaction.
- Print the A/P or A/R Open Invoice or Aging Report (A/P or A/R, Reports, Aging Report or Open Invoice Report), setting the 'As of' date to the date you noted in Step 1 above of the newest transaction or today's date if the G/L report showed no future transactions.
- Print the A/P or A/R Open Invoice or Aging Report for the current month. (Check the "Current" box)
- Compare the two reports. If the "Net Balance Due" figures differ on the two Aging Reports you have lost detail in the Accounts Payable or Accounts Receivable module.
In Accounts Payable: - Compare the "Net Balance Due" figures for each vendor on the two reports. When you find vendor balances that differ, look for an invoice that shows on one report but not on the other.
- Use the AP, Vendors, Vendor Inquiry, Transactions, Detail?... option to determine whether the error is due to lost detail or an incorrect invoice balance. On the Transactions/Invoice Information screen, compare the Current balance figure in the upper right corner to the Balance figure in the detail portion of the screen. If the balances are different contact Sage Customer Support to schedule data analysis to fix the detail.
In Accounts Receivable: - Compare the "Net Balance Due" figure for each customer on the two reports. When you find customer balances that differ, look for an invoice that shows on one report but not on the other
- Use the AR, Customers, Customer Inquiry, Transactions, Detail?...option to determine whether the error is due to lost detail or an incorrect invoice balance.
