How to Rename a Sage 100 User Logon

Note: This task is available only if there is an existing user. You must be logged on as the Sage 100 Administrator user, or have been granted Create and Modify security permissions to the User Maintenance task by an Administrator (in Library MasterRole Maintenance).

Note: A rename of the User Logon can be useful if the user has changed their name (i.e. JDoe to JSmith), prefers a more convenient login (JSmith to John), or if a new hire is brought in to take on the same role as a departing employee.

Note: Renaming the User Logon does not change the User Key, which is an internal 10-digit code that uniquely identifies the user within the Sage 100 system. An example scenario to be aware of: If you rename a User Logon in order accommodate an employee replacement (i.e. - new employee brought into department to take over data entry role of a previous employee) records posted under a previous User Logon will show as if they had been posted by the new User Logon, since the User Key remains the same.

  1. Open Library Master, Main menu, User Maintenance
  2. For User Logon, enter an existing user logon
    • Example: John
  3. Click Rename button
  4. Enter a new user logon and press the Enter key
    • Example: Johnny
    • Note: If you try to enter the user logon of another existing user (including the original user logon) you will receive the message: "The user logon already exists."
  5. Click Proceed button
  6. Close the User Maintenance window
    • Note: Or, you can also choose to enter the new user logon in the User Logon field, to access the user record and make further changes to that user's record, such as First Name, Last Name, User Code, password, security/permissions, preferences, etc.
