Rename a Sage 100 User Logon

Note: This task is available only for an existing user.
Note: Sign in as the Administrator user. You can also complete this task if an administrator grants Create and Modify permissions to User Maintenance in Library Master, Role Maintenance.
Note: Renaming a user logon helps when:
  • An employee changes their name, such as JDoe to JSmith.
  • A user prefers a simpler logon, such as JSmith to John.
  • A replacement employee takes over an existing role.
Caution: Renaming the user logon doesn’t change the User Key. The User Key is a unique internal 10-digit identifier. If you reuse a user record for another employee, historical records continue to display under the renamed user logon because Sage 100 retains the same User Key.

Rename the user logon

  1. Open Library Master, Main, User Maintenance.
  2. In User Logon, enter an existing user logon.
    • Example: John
  3. Select Rename.
  4. Enter the new user logon, and press Enter.
    • Example: Johnny
    • Note: If you enter another existing user logon, including the original logon, Sage 100 displays the message: "The user logon already exists."
  5. Select Proceed.
  6. Close the User Maintenance window.
Tip: Enter the new value in User Logon to reopen the user record. You can then update details such as first name, last name, user code, password, security settings, permissions, and preferences.
