Verify the calculated amount agrees with your Company Totals report

  1. Print the PR, Reports, Company Totals Report - Check Detail for the specific quarter you’re reconciling.
  2. Use the formula in the table below to calculate the amount that appears in Box 2 of 941.
  3. Compare your calculated amount to your Company Totals Report.
Add QTD Gross Pay
Plus QTD Cash tips
Plus QTD Charged tips
Plus QTD FWT-taxable company paid employee deductions with category 'Company-Individual' or 'Company-System' (Deduction Report: Period activity for quarter.)
Minus QTD Non-FWT-taxable employee deductions (pretax) with category 'individual' or 'System' (PR, Reports, Deductions Reports, Period Activity, select desired quarter)
Plus QTD FWT-taxable Other Pays not added to gross (PR, Reports, Other Pay Reports, Period Activity, select desired quarter)

 

If you find any discrepancies between the company totals and 941 Box 2

  • Are any employees marked as 'Ag employee' in PR, Employees, Maintain Employees, Status
  • Was any payroll check manually calculated after an automatic payroll calculation
    • If you inactivated any pretax deductions in Manual Payroll Calculation, you must also adjust the taxable income
       TIP: The 941 line 2 will still be correct if you inactivated deductions and FWT wages weren’t adjusted
  • Check for any Other Pays setup as FWT taxable in PR, Utilities, Other Pay, Maintain but not selected as Add to Gross
     NOTE:  Select 'Add to Gross' for any other pay that's taxable for FWT

How to determine if you have Manual Calculated Checks

  1. Perform a Custom Export to export only employees with a Manual Calculated payroll check.
     EXAMPLE:  Bonus Checks, Severance Checks, or Termination Checks.
