While Sage 500 ERP did not need any updates to support box calculations as we expected, we have discovered an issue surrounding a particular file that needs to be updated on the Sage 500 ERP 1099 client and will cause the Aatrix Auto Update to fail. Originally, the file was incompatible with Sage 500 ERP but we have worked with Aatrix to solve the problem and they have updated their live production system. The file in question is maintained and delivered by Aatrix. The file is used for encrypting your data during transmission, and is unrelated to the 1099 box data itself. The remaining issue is that the file cannot be updated by the Aatrix Auto Update process while the Sage 500 ERP 1099 client is running. We have come up with a workaround that can be used to solve this issue without any code changes. The key is to shut down the Sage 500 ERP 1099 application before the Aatrix Auto Update runs. Attached is a detailed document that will give you step-by-step instructions on how to do this. This work-around should only need to be done once for TY 2023 regardless of how many 1099 submissions you may need to make. The general flow documented is (looks more complicated than it is): - Run a 1099 submission as normal.
- Let the Aatrix Auto Update run and likely fail.
- Shut down the Sage 500 ERP 1099 application and treat the submission is not successful.
- Let the Aatrix Auto Update run again and complete successfully.
- Tell Aatrix to cancel the submission
- Start over again by resubmitting the 1099 submission and proceed as normal.
- Subsequent submissions would be done with the updated Aatrix files so no update issue should be encountered for the file.

In these rare cases where that happened, you may need to call support to guide you on how to update the file manually. Independent of this issue, please pay attention to new IRS regulations regarding e-file requirements. E-file submissions may require additional vendor information including an e-mail address and vendor permission.
