How to force prior accumulated depreciation

Cause

Prior Accum = Total Accum - Current YTD

The program calculates the Total Accum for the calculation date then, based on the calendar information in Edit company, it calculates the Current YTD. This subtracts from the Total Accum to give a Prior Accum.

If the Prior Accum amount changed, the YTD deprecation is calculated differently. There are two common reasons for YTD to change:

  1. If all Prior Accum amounts changed: In File, Edit Company the Fiscal year has changed
  2. If it’s one or a set of assets: The asset was reset and recalculated under the new critical value. Alternatively, there’s a Beginning date in the current year and the Beginning YTD or Beginning Accum is incorrect

Resolution

Warning: Forcing a Prior Accumulated amount may skew the Current YTD and Current Accumulated calculation.

The Prior Accumulated depreciation on the Depreciation Expense report is a calculated field. It’s the result of the Current Accumulated Depreciation minus Current YTD.
In Sage Fixed Asset to force the Prior Accumulated depreciation to be a specific amount, go to the Asset Detail view:

  1. Enter the Prior Fiscal Year End into the Beginning Date.
  2. Enter the desired Prior Accumulated amount in the Beginning Accum.

Note: This isn’t a troubleshooting step. It’s overwriting the current calculation to set the prior accum manually.
