Post using prior and future transaction dates

Summary

The system will allow you to post or import transactions to future and past dates within certain parameters in Sage BusinessWorks.

Description

The General Ledger allows 24 months back and 12 months forward, while subledgers allow 12 back and one forward. Payroll allows postings only in the current quarter and never for future periods.

Resolution

Set the option to Allow prior month posting

  1. Utilities, System Preferences,
  2. Click Yes under the 'Allow prior month posting'
  3. If using Accounts Receivable
    • AR, Utilities, Maintain A/R Parameters - Posting Accounts
    • Select Yes from the Allow future posting

You can post prior and future transactions as follows:

Module Prior Posting Future Posting
General Ledger Twenty-four months Twelve months
C/M Twelve months One month
A/P Twelve months One month
A/R Twelve months One month
I/C Twelve months One month
O/E Twelve months One month
Payroll Current quarter only No future postings allowed

Important Information on Payroll posting

  • You can post transactions in the current open month, or in a prior month in the current quarter
  • You can post FUTA and SUI tax to a prior quarter and year

Year-end adjustments

  • When you post a prior year transaction to any revenue or expense account
    • The system automatically moves prior year revenue/expense values to retained earnings
    • You're done, unless you decide to reprint financial reports
  • Make adjusting entries in the correct module
    • For example, to adjust the cash account post through the Cash Management module
    • Posting cash account adjustments direct in G/L doesn't post to your bank reconciliation
