How to move Sage HRMS to a new server.

Resolution

This outline covers moving Sage HRMS to a new network server. Ensure the new server meets Sage's recommended system requirements. This process needs to be completed by someone familiar with SQL Server, network security, and software installation. For assistance, contact your Sage Channel Partner (billable service).

  1. If moving both the SQL Server and Sage HRMS server, back up the SQL databases used by Sage HRMS.
  2. When moving the HRMS server while SQL remains on the old server, ensure the new server can access the existing SQL server over the network.
  3. Use SQL Management Studio (not HRMS) to back up SageHRMS_Live and all payroll databases (Company, SYS, Vault, Store) externally.
  4. After creating backups, copy the *.BAK files to a network or external drive accessible to the new server.
  5. Restore the .bak files to the new SQL server location on the new server.
  6. Download the Sage HRMS install files and latest quarterly update from the Sage Knowledgebase.
  7. The new installation will prompt for the Serial Number and Installation code. This information can be found on the old installation by clicking the green circle with the "?" and go to About Sage HRMS. The Serial Number and Installation Code will be on the pop-up screen. Copy these down to be used during the installation.
  8. Make a note of the Sharing and Security of the C:\ProgramData\Sage\SageHRMSServer folder to duplicate on the new server installation.
  9. Uninstall the Sage HRMS Client from the workstation before the upgrade.
  10. Install the latest, full-build version of Sage HRMS on the new server. 
  11. During the install the DB connection screen will pop up, enter the IP address of the New SQL server (or old one if the SQL server wasn’t moved) and the sa user password (if you’re using different credentials enter these instead, these credentials must have full permissions to the SQL databases).
  12. You may get prompted to reboot the server at the completion of the installation and restart the server. Make sure all end users are off the new Sage HRMS server before rebooting otherwise they’ll be disconnected from whatever programs they are in and may cause loss of data or damage.
  13. On the new server, open the database setup tool and create the database connections to the Sage HRMS payroll database using the same user name and password as in step 11 above.
  14. Install the latest Sage HRMS quarterly product update.
  15. When the update is complete, click the new desktop icon that reads SageHRMS Client Install.
  16. Once the client install is complete, login using your existing Sage HRMS credentials, click 'Ok' when notified that a new version has been installed and the files must be updated.
  17. Verify users can log in and see current data in Sage HRMS.
  18. Make sure the SageHRMSServer folder has all the needed permission as the previous install.
  19. Install the local workstation client using a UNC path in the \ProgramData\Sage\SageHRMSServer\Client folder and run the setup.exe as administrator.
  20. Launch the clients on the workstation and be sure end users can see current data. Launch the client and you receive a message Unable to connect to payroll database 'XXX" see article 240326135020393.

Note: If non master user is getting the error "Unable to connect to Payroll database "xxxx" simply move the user to the Master group and back to their respective user non master group in Sage HRMS User Security.
