How to move Sage HRMS to a new server.
This outline covers moving Sage HRMS to a new network server. Ensure the new server meets Sage's recommended system requirements. Someone familiar with SQL Server, network security, and software installation needs to complete this process. For assistance, contact your Sage Channel Partner (billable service).
- When moving both servers, back up the Sage HRMS SQL databases.
- When moving the HRMS server, ensure it can access the existing SQL server.

- After creating backups, copy the *.BAK files to a network or external drive accessible to the new server.
- Restore the .bak files to the new SQL server location on the new server.
- Download the Sage HRMS install files and the latest quarterly update from the Sage Knowledgebase.
- The new installation will prompt for the Serial Number and Installation code. You can find this on the old installation by clicking the green '?' icon and selecting About Sage HRMS. The Serial Number and Installation Code will be on the pop-up screen. Copy these down to use during the installation.
- Note the Sharing and Security settings of the C:\ProgramData\Sage\SageHRMSServer folder to replicate on the new server.
- Uninstall the Sage HRMS Client from the workstation before the upgrade.
- Install the latest, full-build version of Sage HRMS on the new server.
- During installation:
- Enter the SQL server IP and sa password (or other full-permission credentials) on the database connection screen.
- The installer prompts you to reboot the server after installation.
- Ensure all users log off to prevent data loss or program issues.
- On the new server:
- Use the database setup tool to connect to the HRMS payroll database using the credentials from step 11.
- Install the latest Sage HRMS quarterly product update.
- When the update is complete, click the new desktop icon that reads SageHRMS Client Install.
- After the client installs:
- Log in with your Sage HRMS credentials
- Click OK when prompted to update files for the new version
- Verify users can log in and see current data in Sage HRMS.
- Make sure the SageHRMSServer folder has all the needed permission as the previous install.
- Install the local workstation client from the UNC path \ProgramData\Sage\SageHRMSServer\Client and run setup.exe as administrator.
- Launch the clients on the workstation and be sure end users can see current data. Launch the client and you receive a message Unable to connect to payroll database 'XXX' see article 240326135020393.
If a non-master user sees the error 'Unable to connect to Payroll database ‘XXX’"
- Move them to the Master group in Sage HRMS User Security
- Then back to their original non-master group
