Void/Reverse payments in Sage HRMS payroll

Summary

Sage HRMS lets users reverse payroll transactions for individual or multiple checks. Reversals don’t update Sage Employee Self Service and require verification in Sage HRMS payroll records.

Resolution

Reverse payroll transactions

  1. From the Navigation Pane, select Payroll, US or Canadian, Processes, Reverse Transactions.
  2. Enter the Bank Code.
  3. Change Source Application to US Payroll.
  4. Select Reverse Document or select Reverse Multiple Transactions.
  5. Enter a Reason for Reversal.
  6. Enter the Reversal Date.

    NOTE:

    The reversal date also becomes the period end date.

  7. Select the employee ID.
  8. Select the Check or Payment Number.
  9. Click Post.

Verify the reversal

  1. Select Employees, View/Edit Employee.
  2. Open the employee record.
  3. Select the Payroll tab.
  4. Open Employee Activity, then Checks.
    • The first line shows the original check.
    • The second line shows the reversal entry.

Understand ESS behavior

Reversing transactions doesn’t update what displays in Sage Employee Self Service.

Important considerations

CAUTION:

Reversals are permanent within Sage HRMS.

  • Restore the database to undo a reversal.
  • Always create a backup before reversing transactions.
  • Maintain regular backups to ensure recovery options.
