Summary
Use this process to identify and resolve differences between the Accounts Receivable Trial Balance and the General Ledger AR account.
Resolution
Verify updates in Accounts Receivable and Sales Order
- Confirm you've updated the Sales Journal, Cash Receipts Journal, and Finance Charge Journal in Accounts Receivable.
- In Sales Order, verify you completed the Daily Sales Reports Updates.
- Run the Daily Transaction Register from the General Ledger module to confirm you updated all source journals.
- Go to General Ledger, Main, Daily Transaction Register.
Review General Ledger detail report
- Print the General Ledger Detail Report for the current period, including only the Accounts Receivable account.
- Make sure only the Accounts Receivable or Sales Order modules post entries to the Accounts Receivable account.
TIP: Use the Source Module column to confirm entries came only from Accounts Receivable or Sales Order. Entries from other modules won’t appear on the AR Trial Balance.
Correct incorrect postings
- If you didn't post a transaction from AR or SO, reverse it in the correct module.
- Re-enter the transaction in the correct module if needed.
- Use original hard copies of registers, journals, and the Daily Transaction Register to confirm entries aren’t missing.
- If a transaction is missing from the General Ledger, verify you posted it to the correct account.
- Create a journal entry in General Ledger for any missing transactions, using the correct date, amount, and accounts.
Include retention or holdback amounts
- If you use Retention or Holdback on invoices, it will post to a different account than AR.
NOTE: Add the Retention GL account amount to the AR account when comparing to the AR Trial Balance.
