Canadian: The ROE doesn’t populate all earnings or hours for an employee

Summary

The Record of Employment (ROE) form in the Sage 100 Contractor menu 5‑4‑1 doesn’t populate all earnings or hours for an employee.

Cause

  • An invalid date is present in 5‑2‑1, Employee, Human Resources, Last ROE.
  • You've entered the wrong pay Period End date in the 5-4-1 window.
  • The First Worked date in the 5‑2‑1 Employees is missing or incorrect.
  • One or more 5‑2‑2 Payroll Records are in 1‑Open status.

Resolution

Fix missing hours or wages

  1. Close the 5-4-1 Record of Employment (ROE) form if it’s open.
  2. Select 5‑2‑1 Employees, then open the Human Resources tab.
  3. Clear the date in the Last ROE field.
  4. Save the employee record.
  5. Run the 5‑4‑1 ROE report and confirm the earnings and hours display.
    • If you run the ROE and cancel out, the program records that date in Last ROE. Clear it before running the ROE again, or the form won’t load the correct data.
       

      NOTE:

      Use the Period End date of the employee’s most recent check; otherwise, the employee won't appear.

Fix wages or hours that appear too low

This issue happens when the employee’s First Worked date is missing or incorrect.

  1. Close the ROE form.
  2. Go to 5‑2‑1 Employees and open the employee’s record.
  3. Open the Human Resources tab.
  4. Enter the correct First Worked date.
    • Use the Period Start date from the top portion of the payroll record.
  5. Delete the date in the Last ROE field.
  6. Save the employee record.
  7. Re‑run the ROE for that employee.

For Payroll Archive companies

If using a Payroll Archive company for the ROE, you must still clear the Last ROE date in your database.  This is typically your current company database.
