All Job Cost users need to be logged out before performing a backup or transaction move.
Before moving transactions from Current to History, perform a backup of your current.jct and history.jct files:
NOTE: Do not (or be careful if you) use Accounting Date as a condition to move. Many JC entries don't have an accounting date and if you use a condition of accounting date <= xx/xx/xx it will move entries that don't have an accounting date. You could end up moving recent entries.
- In Job Cost, go to Tools, File Tools.
- Select Backup, then click Next.
- Click Add Files, select the current.jct file and history.jct file. Click Open, then Next.
- Click Browse, select the destination for you backup file, click OK. In the Archive Name field type what you would like to name the backup file. Click Next.
- In this window, verify that all the lights are green. If you have a red light that reads "files are in use" then someone still may be logged into Job Cost. Have the user log out, then click Back, then Next, and verify all the lights are now green. If all the lights are green, click Next, Next, Next, then Finish.
To perform the transaction move from Current to History:
- In Job Cost, go to Tools, Move, Transactions, Current to History. Do not immediately press the Start button! This would move ALL transactions in the Current file to History.
- In the Print Selection window, click Ranges to select any jobs you would transactions to be moved from. Use the Conditions button if you would like to set detailed filtering of which transactions to move.
- Click Printer Setup to select a printer or you can to Print to File. A printout will occur stating how many transactions have been moved.
- Click Start.
