Summary

You would like to prevent certain users from editing or deleting data in certain fields I want to set up my new employee and not let them see certain areas.

Description

How do I prevent certain users from accessing, editing, deleting data in a field or fields?

Resolution

  1. Log into the database as Supervisor (version 19.x and lower) or open with Administrator Rights (v20.x and higher). Exclusive access is not required.
  2. Open the screen where the field you wish to restrict access to is located
  3. Click in the field, grid box, or check box you wish to restrict
  4. Press the F7 button on your keyboard. The Field Properties windows for that field or checkbox opens
  5. On the Permit access to: box, place a check in the box for the Security Groups who would like to be able to access this field. The ones you leave unchecked will not be able to access this field.
  6. Click Save

Notes:

  • This will also hide the columns for these fields in selection screens
  • This option will not be available for required fields (fields with "*" next to them)
  • If you can't lock them out due to other reports, you can make a field Required by following the steps above and clicking Require entry. Then give access to only those users who can save that screen.
