Archiving the oldest fiscal year

 NOTE: In versions 26.1 and later, you can combine archiving the oldest fiscal year with the oldest payroll year using the Archive Oldest Fiscal Year process. The company's fiscal year-end must be December 31, like the payroll year-end. 

• An optional checkbox allows you to opt out of the combined archive
• The opt-out option is checked by default
• A Payroll Warning message shows when doing a combined archive before the payroll archive process
• An update to the wizard's Maintenance Tasks includes Payroll Options. This is similar to the Archive Oldest Payroll Year process
• Maintenance Tasks results include the number of employees removed and employees marked as inactive

Combined fiscal year and payroll year archive

  NOTE: To do this, the company's fiscal year-end must be December 31, like the payroll year-end.

1. Log out all users from the program.
2. Connect to Database Administration for Sage 100 Contractor.
3. Create two backups of the company database. Select Tune Up/Back Up/Restore and then Back Up Companies.
4. Click Archive Company Data, and then Archive Oldest Fiscal Year.
5. Uncheck the default opt-out checkbox for the combined archive.
6. Select the company to archive.  
7. A Payroll Warning message displays before the payroll archive process, while performing a combined archive.
8. Follow the prompts in the Archive Oldest Fiscal Year wizard.

Fiscal year archive only

  NOTE: It's important to perform Archive Oldest Payroll Year before performing Archive Oldest Fiscal Year for the same tax year.

1. Log out all users from the program.
2. Connect to Database Administration for Sage 100 Contractor.
3. Create two backups of the company database. Select Tune Up/Back Up/Restore and then Back Up Companies.
4. Click Archive Company Data, and then Archive Oldest Fiscal Year.
5. Select the company to archive.
6. Keep the default opt-out checkbox for the combined archive selected.
7. Click Create Archive.
8. Follow the prompts in the Archive Oldest Fiscal Year wizard.
