Can I use import time in Payroll to import non certified time related to Certified jobs?

Example text file when the time entry view used to import time contains the following fields:

Date, Employee, Job, Extra, Cost Code, Certified?, Union, Union Local, Union Class, Pay ID, Units, Rate, Amount, WC Code

* the first line is non-certified, the second line is certified.

Cause

Shop time and travel time may be distributed to a certified job but not be included on Certified Payroll reports.

Resolution

To use Import Time to import non-certified time to a certified job, the employee must be set to Exclude from Certified report when the job is set to Require Daily Entry.

  • The time entry view you use with Import Time must include the Date and Certified? column.
  • Each earnings record in the Import file must include a valid date entry. For employees with a weekly pay period, a valid date is defined as a date that falls within the seven day period preceding the period end date specified for the import. For employees with a bi-weekly pad period, a valid date is defined as a date that falls within the fourteen day period preceding the period end date specified for the import.
  • If you are tracking labor hours on a daily basis in Job Cost, you must make separate entries for the regular and overtime hours for each job for each day as you enter earnings information. Depending on the earnings information you are entering for an employee, you might produce several records per employee in the Import file.
  • If Payroll daily entry control - certified job has been marked to require daily entry on Job record in Job Cost and the employee is not setup to Exclude from certified report, when earnings are process in Payroll, daily distribution records are created for earnings and the certified? check box is marked. Payroll will ignore the import record where "Certified?" is set to N in the import file when the time is imported. To import Non certified time to a certified Job the employee must be set in Payroll,Setup,Employee on the Misc Info tab to Exclude from certified report. Use this setting with caution as it causes the CERTIFIED? check box to automatically deselect when time is entered in enter time or enter checks.
  • Daily distribution records associated with imported time records that are marked "Certified?" are created when the checks are processed.
