How do I email my employees their W-2s?

Summary

Steps to send employees' W-2 forms by e-mail.

Cause

Employee does not have an e-mail address listed.

Resolution

Print the Electronic W-2 Consent Form:

  1. From the Payroll Tasks menu, select Federal eFile and Reporting.
    Note:
    If prompted to update, follow the steps to update.
  2. If prompted, select New Report and click Next. Otherwise skip to step 3.
  3. Select Electronic W2 Consent and enter the check dates for the applicable reporting year.
  4. Click Next, select the applicable employees, and click Generate.
  5. After the signed form is returned, setup the employee to receive W-2s via email.

Setup the employee to receive W-2s via Email:

  1. From the Payroll Setup menu, select Employees.
  2. Select the applicable employee.
  3. On the General tab, enter a valid Email.
  4. Select the Electronic W-2 Only box.
  5. Click Save.

When generating your W-2s, The Data Verification screen will ask "Do you have any employees who elected to only receive W-2 forms electronically?" Select Yes.
