Summary

In Sage 300, use these steps to comply with laws about the disclosure of personal information.

Cause

The California Consumer Privacy Act (CCPA) went into effect on January 1, 2020. Its goal is to protect the personal information of all California consumers and applies to any for-profit business that meets certain requirements and collects, purchases, or sells the personal information of California consumers. CCPA can affect your business even if you aren’t based in California.

Resolution

How do I track the type of disclosure a customer is requiring? 

Your company is responsible for this. Follow the directions below to use optional fields to add this requirement to the customer record:

  1. Go to Common Services and select Optional Fields.
  2. Enter a Code, Description, and Type.
  3. Select Add.
  4. To add this optional field to the customer records, go to Accounts Receivable, A/R Setup and choose Optional Fields.
  5. Verify the Optional Fields checked include Customers, National Accounts, and Customer Groups.
  6. Click inside the grid and choose Insert.
  7. Select the optional field you added, and then choose Save.

How do I create a disclosure report of stored personal information?

Your company is responsible for this. Sage 300 is flexible, so you could be storing personal information in the default fields available for customer records, or you could have set up optional fields to track more personal information.

For example, you can find customer contacts, addresses, and email addresses using Accounts Receivable, A/R Customer Reports, Customers. The CCPA considers these personal information.

How do I create a disclosure report of sold personal information?

Your company is responsible for this reporting. Sage 300 doesn’t track the sale of information.

Can I save disclosure reports as electronic files?

Yes. You can save reports and custom reports (created with Crystal Reports or Sage Intelligence) as electronic files:

  1. From the report window, choose Export.
  2. Choose the Format and the Destination.
  3. Choose OK.
  4. Choose the Location and enter a File Name.
  5. Choose Save.
