Summary
Create a sales account in Sage BusinessWorks to post fees, tariffs and surcharges to your customer invoices. You can then track the fees using Sales Analysis Reports.
Resolution
Set up a General Ledger (GL) account for the fee, tariff or surcharge
- GL, Accounts, Maintain Chart of Accounts.
- Create a new account to define as your fee, tariff or surcharge posting account.
Assign the account to a sales account in AR
- AR, Utilities, Sales Accounts, Maintain.
- Create a new sales account for your fees or surcharge.
- Assign the GL account created above.
Add fees, tariff or surcharge to a new invoice or order
NOTE: Select to add as Misc charge or on the Summary screen.
Use line item Misc. Charge
- Add a line item of type Misc. Charge.
- Enter the description and Unit price.
- Select the sales account you defined for your fees, tariffs or surcharges in the Acct field.
NOTE: The misc. charge will post to the GL account you assigned to your sales account. Set up in AR, Utilities, Maintain AR Sales Accounts.
Use the Miscellaneous charges field in the Order/Invoice Summary
- After you've entered all the line items on your order or invoice, click Summary.
- Enter an amount or percentage in the Miscellaneous charges field. This field allows you to enter the charge as a percentage.
For example, if you want the charge to be 10%, type 10% into Miscellaneous Charges. The system will automatically calculate the charge amount based on the total.
NOTE: The miscellaneous charge posts to the GL account you defined in Accounts Receivable. Set this in AR, Utilities, Maintain AR Parameters.
To add fees or surcharges after the invoice is posted
- AR, Transactions, Debit Memos.
- Select the customer.
- In the Apply to field select Invoice.
- Select the invoice from the lookup.
- Enter the amount of the fee or surcharge.
- Select the Distribution button.
- You’ll need to 0.00 out the amount in the Sales Adjustments field.
- Then on the left side, select the sales account for your fees or surcharge.
- Enter the amount and Accept.
- OK and Post.
Track the postings you have made to this account
NOTE: Miscellaneous charges entered in the summary won’t track on this report.
- AR, Reports, Sales Analysis Report by Sales Account.
- Select your sales account defined for your fees or surcharge.
- Select the time period you desire.
- Preview or print the report.
