How do I move or copy files using File Tools?

Use File Tools to copy Sage 300 Construction and Real Estate data files.
 NOTE: Verify the Windows Explorer option to Hide extensions for known file types is unselected. 

  1. In any accounting application, from Tools, select File Tools. In any estimating application, from File, select File Tools.
  2. Select Copy or Move. Click Next.
  3. You can copy or move multiple data folders or files. Choose the desired option:
    • Click Add Folder to copy an entire data folder.
      1. Click Add Folder.
      2. Browse and select the folder you want to copy.
      3. Click OK.
      4. The folder adds to the list of files and folders you want to copy.
    • Click Add Files to copy specific files.
      1. Click Add Files.
      2. Browse to and select the files that you want to copy. Press and hold CTRL to select multiple files.
      3. Click Open.
      4. The files add to the list of files and folders you want to copy.
    • Click Remove to remove a file or folder from the current list.
      1. Select the file that you want to remove.
      2. Click Remove.
  4. In the Destination box, click Browse to browse to the location where you want to copy the selected files.
  5. Select the destination folder. Click OK.
    • Tip: Click Make New Folder to create a new folder.
  6. Click Next to begin the validation process. The following occurs:
    • Scan file system to build file list - Uses the selected folders and files to build a list of files to copy.
    • Validate data files - Scans the selected files and folders to verify that the data structure is intact, that all required data components are present.
    • Check for files that might be overwritten - Verifies if any files in the file list already exist.
    • Ensure files are not in use - Checks if any files in the file list are in use.
    • Verify space is available for the operation - Checks if enough disk space is available.
      • Note: A green circle indicates the validation completed successfully. A red circle indicates the validation completed with exceptions. Any exceptions appear in the window. You can fix the issue before continuing the process. If there are duplicate files in the folder that you copy to, you can choose to overwrite the existing files:
        1. Click Next.
        2. Specify if you want to skip or overwrite duplicate files:
        • Select a file. Click Skip to not copy the file and change the State to Skip.
        • Select a file. Click Overwrite to overwrite the file and change the State to Overwrite.
        • Click Overwrite All to overwrite all duplicate files and change their State to Overwrite.
        • Click Skip All to not copy duplicate files and change their State to Skip.
  7. Click Next.
  8. Review the list of files to move or copy. The State column indicates if you decided to include or skip a file. To include or skip files:
    • Select a file. Click Skip to exclude the file and change the State to Skip.
    • Select a file. Click Include to include the file and change the State to Include.
    • Click Include All to include all files and change their State to Include.
    • Click Skip All to skip all files and change their State to Skip.
  9. Click Next.
  10. Verify that the information in the Execution Summary window is correct. If not, click Back to make corrections.
  11. Click Next to copy your files.
  12. Review the information in the Operation Journal window.
  13. If you want to print your journal, select Summary or Detail depending on how much detail you need.
    • Click Save to save your journal to a text file.
    • Click Print to print your journal to a printer.
  14. Click Finish.
