Information about date fields in Activate Lease
- Actual Move In date
The date you type for the Actual Move In fills the Actual Move-In date on the unit and the Actual Move-in date and Actual Lease start dates on the lease. This date is also the Prorate From date.
- Vacancy loss date
Type the date that vacancy loss calculations should end. This date is not included in the calculation. For example, if you activate a lease and type 9/20 for the Vacancy loss date, then vacancy loss for the month of September is calculated 9/1 through 9/19 (19 days of vacancy loss).
- Occupied date
Type the date that occupancy begins. This date is the Occupied Date on the unit occupancy history.
- Transaction Date
Type the date you want to use as the Transaction Date on related Activate Lease transactions (for example, vacancy loss and straight line rent).
- Accounting Date
Type the date you want to use as the Accounting Date on related Activate Lease transactions (for example, vacancy loss and straight line rent).
- Prorate From and Prorate To dates
The Prorate From date is the date that prorated charges begin. It prefills with the Actual Move In date you entered if it is not the first day of the month. You can modify the Prorate From date during Activate Lease.
The Prorate To date is always the last day of the month. The Prorate From date is included in the proration calculation. For example, if the Prorate From date is 9/20 and the Prorate To date is 9/30, 11 days of prorated charges are created.
- First Full Charge date
This date prefills with the first day of the month following the Prorate To date if the Prorate From date is not blank. If the Actual Move-in is the first day of the month, the Prorate From date remains blank and the Actual Move-in date prefills with the First Full Charge date. If the Prorate From date is blank, you can modify the First Full Charge date.
Tip: To ensure that occupancy records are correct on the unit record, always process terminations before activations when a move-out and move-in occur for the same unit.
