How do I set up pre-existing leases in Property Management using the original move-in date and effective date for the charges?

Modify the dates in Start Lease and Activate Lease.

Note: If you need to activate a lease but do not want to affect vacancy loss, clear the Track Vacancy Loss check box on the property. For more information, refer to article 19336 How do I activate a lease without affecting vacancy loss in Property Management?

  1. Start a new lease.
    1. In the Start Lease window (Tasks, Manage Leases, Start Lease), click New Lease.
    2. Select a Property, Unit, and Tenant from the corresponding boxes.
    3. Type a lease ID in the Lease box. Choose your lease ID carefully. You cannot change the lease ID after you set it up.
    4. Click OK. The Start Lease Edit Future Lease window opens.
  2. Adjust the dates in the Start Lease Edit Future Lease window.
    1. Click the General tab and then click the Dates/Status tab.
    2. Type the date that the tenant started their lease in the Intended and Actual Lease start boxes. This date can be in the past.
    3. Type the date that the tenant moved in in the Intended and Actual Move-in boxes. This date can be in the past.
    4. Click the Recur Chgs tab.
    5. Set up your recurring charges. When you set up the Charge Amount(s), you can use past dates for the Effective Date to record changes in the recurring charge amount.
    6. In the Recur Chgs grid, enter the Next Date for your recurring charge. This date should be current. For example, if the Last Rent Roll date on your property is 3-31-2021, you should enter 4-1-2021 for the Next Date.
  3. Adjust the dates in the Activate Lease windows.
    1. After you finish setting up your lease in the Start Lease Edit Future Lease window, click Activate Lease.
    2. In the Start Lease Activate Lease: Dates and Occupancy window, type the correct Actual Move In date, verify the Occupied date, and then click OK.
    3. In the Start Lease Activate Lease: Charge Start Dates window, the Prorate From date or First Full Charge Date will prefill with the Actual Move In date. Change the Prorate From or First Full Charge date to match the date you entered for the Next Date, then click OK.
