How do I enter beginning balances for my leases in Property Management?

In this solution, you will be turning off Create Entries to General Ledger and Cash Management. Verify no other users are doing work in Property Management where entries should be created for GL and CM.

  1. Verify that the period end date for your property is set to the last day of the period prior to the period you will begin generating charges. For example, if you will begin generating charges for the period ending 8-31-2023, the property period end date should be 7-31-2023. (From the Property Management Setup menu, select Properties, and then click the General tab, Controls tab.)
  2. From the File menu, select Company Settings, PM Settings.
  3. Click Post and Interface Settings and clear the Create entries check boxes for General Ledger and Cash Management, and then click OK, then OK. This prevents the beginning lease balance transactions from posting in General Ledger and Cash Management.
  4. Enter all unpaid charges that make up your leases' beginning balances. Refer to How do I enter a charge for a lease in Property Management?
  5. Enter any payments that are part of your leases' beginning balances. This includes all refundable and non-refundable deposits held. Refer to How do I enter tenant or lease cash receipts in Property Management?   
  6. Accrue interest on deposits if appropriate. Refer to How do I accrue interest on lease deposits in Property Management? 
  7. Post all of the above entries, if you did not post them at the end of your data entry sessions, from TasksPost Entries.
  8. From the File menu, select Company Settings, PM Settings.
  9. Click Post and Interface Settings and select the Create entries check boxes for General Ledger and Cash Management if you are ready to begin creating General Ledger and Cash Management entries for your regular processing, and then click OK, then OK.
  10. Users may resume performing normal work in Property Management.
