How do I enter a change request in Project Management?
Description

Create a change request to capture details about changes in project scope, price, and cost.

Before you enter a change request, you can set up prefills in Setup, Jobs, Change Management tab. This can make data entry and calculations easier.

Open the Change Request window

You can open the Change Request window in Project Management from any of the following locations:

  • Contract Control, Change Requests
  • Contract Control, Change Orders, New Change Request
  • Contract Control, Change Orders (double-click a change request in the grid)
  • Documents, RFIs, New Change Request

Enter Change Request information

Header

Enter the Job, change request Number, Description, and Date.

Change Request tab

  1. Enter the name of the person who will receive this request.
  2. Select the Source document and enter the Source number.
  3. Enter the Status of the request. You can only approve a change request from a change order. Change requests take the status of the change order they’re included on.
  4. Enter the Schedule impact and Scope.
  5. Enter or select the name of the person sending this request in From. Use Cc to add people you want to send a copy to.

Details tab

  1. Enter a Response date and the Urgency of the request.
  2. In the Origin area, enter the Reason for the change and select who initiated the request.
  3. In the Coding and reference area, select whether this is an internal change that you won’t bill. Enter the contract, contract item, extra, spec. section and work order if necessary.
  4. Enter information or accept the prefills in the Notice to proceed or approval area.

Price/Cost Estimate tab

  1. Select Lump sum or Time and materials as the pricing method.
  2. Select a view.
    Note: You can use the Vendor view to select an existing Commitment to link to this change request. When you select the change request in a commitment change order, it automatically writes the commitment change order number back to the change request.
  3. Enter information in the grid.
  4. Enter information in the Markup/Add-on/Tax Description grid. The prefills that you set up in Setup, Jobs, Change Management tab appears here.

There are many columns available in the entry grids that don’t show in the default views. You can add these columns by right-clicking in the entry grid and selecting Hide/Show Columns. Checkmark the columns you want and click OK.

Finish

  1. If you want to send pending or approved estimate changes now, click Next Action, Update Job Estimate. This opens the Update Job Estimate window. This is optional and you can wait and do this from the Change Order.
  2. Click Save to update contract totals to Job Cost and Contracts.
  3. You can send cost estimate transactions to Job Cost as Pending or Approved. Select a Transaction date, and then click OK.
