The Work State and Work Local prefill when you enter earnings through Enter Time, Enter Checks, Change Time Entries, or Change Posted Time.
If the interface to Job Cost is turned on and the time entry is for a job:
- Job Cost work State or Local (Setup , Jobs - Scope PR and EQ tab).
If the State or Local box on the Job is blank or time was not entered to a job:
- Payroll (Setup , Employees - Entry Info tab).
If the Use Employee Work State/Local check box is selected on either the employee master file record (Payroll , Setup , Employees - Entry Info tab) or on the set up of the Cost Code (Job Cost , Setup , Cost Codes - General tab) for which time was entered, Payroll retrieves the Work State and Work Local from the employee setup rather than from the job.
If it is necessary to calculate taxes based on the employees' Resident State or Resident Local see article DocLink: How do I set up tax reciprocity between two states?
Note: If the WC State set on the PR Employee is blank, the WC State will not prefill on the time entry but will be retrieved based on the Work State assigned to the time entry when the check is processed. A WC Code must exist on the time record in order for the WC State to be populated when the check is processed.
Note: If the incorrect Local taxes have calculated on your payroll checks because the Local on the Job was missing or was the incorrect Local Tax group, and you have other jobs within that Local Tax City or Jurisdiction, you must void the checks which have the incorrect Local taxes on the check. W2 reports will retrieve the Taxable, Subject to and Tax amounts from your Transactions. The totals are not retrieved from the Employee Tax Master file records.
