How do I enter a cash receipt for a customer prior to entering an invoice?

Create a customer cash receipt.

  1. In Accounts Receivable, from the Tasks menu, select Enter Cash Receipts.
  2. Enter the deposit information and click OK.
  3. In the Enter Cash Receipt - Deposit Items window, enter the customer ID and any other information that you have available.
  4. If there are outstanding invoices for the customer the Cash Receipt Selection window opens either select invoices that should be paid with this deposit on account or if invoices are selected for payment, deselect any invoices that should not be paid by this deposit on account:
    1. Select an invoice, and then click Unapply.
    2. Repeat for each invoice.
    3. Click Cash Receipts.
  5. On the Enter Cash Receipts - Cash Receipts window, in the Cash Receipt Type column, select Customer Cash Receipt.
  6. Enter the appropriate information for the cash receipt and distributions. If you need to change the GL account, once you have tabbed through the line - click back on the customer cash receipt line and click distributions, that will open up the cash receipt distribution window where you can change the credit account. NOTE: changing the credit account can modify how you reconcile AR to GL.
  7. Click Finish Cash Receipts.
  8. Click Finish and click Yes to post the entries.

To apply the cash receipt once the invoice is entered:

  1. In Accounts Receivable, from the Tasks menu, select Adjust Receivables.
  2. Enter the Customer and the Accounting date.
  3. Change the View to All activity.
  4. Scroll down to find the entry Cs cs rc (customer cash receipt).
  5. Select the entry and click Apply.
  6. Apply it to the appropriate invoices and click OK.
  7. Click Finish and click Yes to post the entries.
