Things to consider before moving contracts
If you do not enter a range or condition, all contracts that meet the required move criteria are moved.
Contracts only move from current to history by default in the live company data folder; however, you may use File Tools to Move the History.CNA, History.CNC, and History.CNT files to an archive folder location. This is a one-time move however, subsequent contracts archived this way would need to go to a different Contracts archive data folder.
Criteria for moving contracts
Contracts are moved if they meet the following criteria:
- The contract status must be either Closed or Paid in Full.
Note: The contract items for the contract can be any status.
- A contract with the same ID must not exist in the history (destination) file.
- Unposted entries for the contract must not exist. Use the Unposted Transactions inquiry (Inquiry menu , Other) to check for these.
- Retainage for the contract must be completely billed.
- The receivables amount must equal the billed amount.
Note:The receivables amount includes cash receipts and receivable adjustments. The billed amount includes total billed, total tax billed, add-ons billed, and deductions billed.
Steps to move contracts
- Print the necessary month-end and year-end reports that are required by your company.
- Back up your Contracts files.
- From the Tools menu, select Move Closed Contracts, Current to History.
- If history files have not yet been created, the message "CN History Contract file was not found. The file will be created" appears. Click OK to continue. Similar messages appear for the CN History Derived and CN History Transaction files. For both, click OK to continue.
- Click either Ranges or Conditions to select criteria for determining specifically which closed or paid in full contracts are to be moved.
- Click Start to begin the move process.
- Review the journal to verify the appropriate contracts moved and check for any errors.
