The Print sorted localities option allows you to select the State, and either select a specific local or choose All.
The Local W-2 is a 4 part form. Each page is not specific to one employee.
Example: Employee 101 works in several Localities, his first local is ADAMS. His W-2 will print for ADAMS followed by all other locals he works in. The next employee who works in ADAMS will then print followed by the locals that employee worked in. The next employee who worked in ADAMS will then print, and so on.
Note: You must complete a federal and or state W-2 run before you can print local W-2s. For more information on generating Federal and State W-2s, see How do I print or generate W-2s?.
Generating local W-2s during your first W-2 run:
- In Payroll, choose Tasks, Federal eFile and Reporting.
- Choose New reports and click Next.
- Select W-2/W-3 and continue through the wizard until the last W-2 report has been generated.
- After closing the window, in the W2/1099 Preparer window, select Reprint Completed W-2s from the Available Actions selection. Click Next.
- Select Print Sorted Locality Copies and click Next.
- Select one state where you have localities that you wish to print and click Next.
- The W-2s will print for the state selected, sorted by locality.
- Repeat steps 4 through 7 for each state where you have localities that you wish to print.
Generating local W-2s from a saved W-2 run:
- In Payroll, choose Tasks, Federal eFile and Reporting.
- Choose Saved reports and click Next.
- Choose the Federal ID Number from the drop-down and click Open.
- Click the box for the saved W-2 form and click Edit.
- In the W2/1099 Preparer window, select Reprint Completed W-2s from the Available Actions selection. Click Next.
- Select Print Sorted Locality Copies and click Next.
- Select one state where you have localities you wish to print and click Next.
- The W-2s will print for the state selected, sorted by locality.
- Repeat steps 5 through 8 for each state where you have localities that you wish to print.
