Changing the Customer on any portion of a deposit item changes the Customer for the entire original deposit item.

You can use the Change Customer feature whether or not you reconciled the deposit in Cash Management. Cash Management doesn't track the customer on cash receipts. Changing the customer doesn't create transactions for Cash Management.

If you're moving part of the cash receipt to split it between two different customers, unreconcile and void the portion for the second customer. Or void the entire deposit item and re-enter with the correct split.

An enhancement request exists to add the ability to use Change Customer to move only a portion of the overall deposit item.

Date usage

When you use the Change Customer task, all transactions use the original accounting date of the deposit, unless you closed that period in General Ledger. If it's closed, you receive a message based on your settings in General Ledger. See General Ledger, File, Company Settings, GL Settings, Processing, Allow entry to a closed period.

  • If you selected this check box, you can enter a new date or use the old one
  • If the check box is clear, you receive a prompt to enter a new date or to cancel
  • To send the entries to the closed period, open the period in General Ledger before beginning
  • If you enter a new date, then the reversal and the new transaction use the new date

Move the whole deposit item

  1. From the Accounts Receivable, Tasks menu, select Adjust Receivables.
  2. Enter the customer currently assigned to the cash receipt.
  3. Enter an accounting date.
     NOTE: Sage doesn't use this accounting date for the process. See the Date usage section above for more information.
  4. From the View drop-down list, select All Activity.
  5. Select the cash receipt for which you want to change the customer.
  6. Click Change Customer.
  7. Click List and select the new customer for the cash receipt.
  8. Verify that the amount you want to move matches this window's Deposit Item Information portion. If it does, click OK.
     NOTE: This voids the entire deposit item on the old customer. It adds a customer cash receipt to the new customer. The date will typically be the original deposit date unless you closed that period in General Ledger. See date usage information above. 
  9. If the amount doesn't match, click Cancel, void the deposit, and re-enter to the correct customer.
  10. Click Finish.

Move part of a deposit to a different customer

If the amount you're moving was on a deposit item that included other amounts, you must void the incorrect portion. Then, create a new deposit for the correct customer.

 EXAMPLE: You applied $10,000.00 to customer A, but wanted to apply $8,000.00 to customer A and $2,000.00 to customer B: 

  1. If you reconciled the deposit, unreconcile the deposit in Cash Management.
  2. Go to Accounts Receivables, Tasks, Adjust Receivables.
  3. Enter the appropriate Customer and Accounting Date and then select the All Activity View. Use the original deposit date for the void and re-entry when needed.
  4. Select the Invoice Cash Receipt for $10,000.00 and click Unapply.
  5. Select the Customer Cash Receipt for $10,000 and click Apply.
  6. Select the invoice that you want to apply the partial payment to and then click Amount. If it's grayed out, select the invoice again by clicking once.
  7. Type the amount that you want to apply to this invoice and then click OK. In this example, the amount is $8,000.00.
  8. Click OK.
  9. Select the Customer Cash Receipt for $2,000.00 and click Void.
  10. Select Yes for the message "If you continue the selected activity will be voided...".
  11. Click Finish.
  12. Go to Tasks, Enter Cash Receipt.
  13. Create a deposit to the correct customer using the void date from step 7 as the deposit date. In this example, the deposit amount is $2,000.
  14. If you changed the deposit status in Step 1:
    1. Re-reconcile the original deposit, the partial void, and the new deposit.
    2. The void and new deposit should wash each other out.
    3. Use the same cleared date as on the original deposit (typically the statement date that you reconciled with).
