How do I correct a check that has the incorrect Period Begin Date, however the Period End Date is correct?

To change the Period Begin Date on small check runs that have the check status of new, altered, or processed, you can use Change Unposted Time or Enter Checks. At the bottom of the window click Check Info, Change the Period Begin Date in the upper right. For larger check runs follow the directions below.

Backup the Payroll Data file:

  1. Use File Tools to create a backup of the New.prt file. Refer to How do I use File Tools to back up data files? for instructions on how to back up a file.

If the check has a status of new, altered, or processed, follow the steps in Option A. If the check has a status of printed or manual, follow the steps in Option B. If the check has been posted, follow the steps in Option C. To determine the status of the check, select the appropriate attachment below.

Note: In order to change the period begin date with the Modify Period End Date tool, you must also modify the period end date, then modify the period end date again to correct it.

Option A
Follow these steps to correct the period begin date for checks with a status of new, altered, or processed

  1. Use File Tools to back up the New.prt. For instructions to do this, click the appropriate attachment below.
  2. In Payroll, from the Tools menu, select Modify Period End Date.
  3. Enter the New Period End Date (a future date other than the current, correct period end date), enter the New Period Begin Date, and select the PR Transaction file has been backed up check box.
  4. Click Start.
  5. In Payroll, from the Tools menu, select Modify Period End Date.
  6. Enter the correct New Period End Date and select the PR Transaction file has been backed up check box.
  7. Click Start.

Option B
Follow these steps to correct the period begin date for checks with a status of printed or manual

  1. Post any checks that were entered correctly and are checks which are not included in a Direct Deposit run. Only checks that need to be changed or would be included in one Direct Deposit run, should remain in the new file.
  2. Use File Tools to back up the New.prt. For instructions to do this, click the appropriate link below.
  3. In Payroll, from the Tasks menu, select Void Checks.
  4. Select the appropriate new transaction file.
  5. When you void the check, select the Retain this check as new check box. For information on how to void a payroll check, click the appropriate attachment below.
  6. In Payroll, from the Tools menu, select Modify Period End Date.
  7. Enter a New Period End Date (a date other than the current, correct period end date), enter the New Period Begin Date, and select the PR Transaction file has been backed up check box.
  8. Click Start.
  9. In Payroll, from the Tools menu, select Modify Period End Date.
  10. Enter the current, correct New Period End Date and select the PR Transaction file has been backed up check box.
  11. Click Start.

Option C
Follow these steps to correct the period begin date for posted checks

  1. Backup the New.prt and Current.prt using file tools. For information to do this, click the appropriate attachment below.
  2. In Payroll, from the Tasks menu, select Void Checks.
  3. Select the appropriate current transaction file.
  4. When you void the check, select the Retain this check as new, Use original accounting date, and Use original check date check boxes. For information on how to void a payroll check, click the appropriate attachment below.
  5. In Payroll, from the Tools menu, select Modify Period End Date.
  6. Enter a New Period End Date (a date other than the current, correct period end date), enter the New Period Begin Date, and select the PR Transaction file has been backed up check box.
  7. Click Start.
  8. In Payroll, from the Tools menu, select Modify Period End Date.
  9. Enter the current, correct New Period End Date and select the PR Transaction file has been backed up check box.
  10. Click Start.
