Box 12 information is missing on my Aatrix W-2s (Space in code field)

Cause
Box 12 on the W-2 form requires a code to identify the amount type. If the code is missing or invalid, the amount will not print on the W-2.
Resolution

Add the correct deduction, pay, or formula in the W-2 form using the following steps:

 

  1. In Payroll, choose Tools, Modify Forms, W-2 Forms to open the Modify W-2 Forms window.
  2. Click List, choose the W-2 form you wish to update and then click OK.
  3. Use the Tab key to access the form, and then click on the Amounts tab.
  4. Click in the first field for 12a, 12b, 12c, 12d or 12e and add the appropriate code
    • Make sure there are no leading or trailing spaces in the code box.
    • Codes are listed in Help, Help Topics - search for Box 12 on W-2 forms on the Index tab.

 

Generate your W-2s:

 

  1. Go to Tasks, Federal eFile and Reporting and follow the screen prompts to generate W-2s
  2. If the column for the box you just modified in the steps above appears, continue printing your updated W-2 forms.
  3. If the column for the box does not exist, right click on the green heading of one of the columns and choose Insert.
  4. Enter the Box number in the in the name field.  Leave the Default cell value field empty.  Click on OK.
  5. You will now have a new column titled “unassigned”.  Click on the down arrow in this column heading and choose Box 12, then choose the correct code (the code you entered in step 4 above).
