How do I copy General Ledger full accounts from a folder without prefixes to a new data folder with or without prefixes?
Description

You must create a General Ledger Master File in the new data folder before you can copy full accounts into it.

You must also verify that the account format matches the current setup before creating the General Ledger Master File:

  1. File, Company Settings, Custom Descriptions.
  2. Navigate to GL Account.
  3. Place the cursor in the box with the word account.
  4. Click Setup Sections.
  5. Verify that the Prefix/Base/Suffix are present or not present, as needed.
  6. Click OK.
  7. Click OK.

A data folder that does not use prefixes only has full accounts.

You can copy full accounts to another folder if the origin folder and destination folder have the same account format.

Note: All users must be out of all applications in both company data folders (the source and destination) in order to perform the Copy Chart of Accounts function and avoid a "file in use" message.

  1. Open the source company data folder with the full accounts you want to copy.
  2. In General Ledger, from the Setup menu, select Copy Chart of Accounts.
  3. In the Look In list, select the new data folder you want to copy the accounts to.
    Note: Do not change the default destination file name of MASTER.
  4. Click Open, and then click Yes.
  5. In the Copy Records list, select Account records only, and then click OK.
  6. Click Ranges, select specific accounts to copy, and then click OK. Skip this step to copy all your accounts.
  7. Click Start.
