Notes:

  • Refer to When is it ok to delete a GL account?
  • You can delete a General Ledger account only if the current and future balance are both zero (Setup, Accounts, Balances tab).
  • Delete the full account before deleting a base account, or you will get a Base and Suffix not found error.
  • Deleted accounts do not appear on financial statements, ledgers, or trial balances.
  • Transactions for the deleted accounts still appear on transaction based reports. Transactions related to the deleted account are not affected when you delete the account.
  • When you print a financial statement, ledger, or trial balance for a prior period in which the deleted account had a balance, that account does not appear on the report and the report may be out of balance.
  • WARNING: It is recommended that an account not be deleted until all fields on the Activity tab are blank, meaning that enough GL periods have been closed that all activity has rolled off. The Current Ledger and YTD Ledger reports use the amounts from the Activity tab in the calculations and if the activity is not there, the ledger will be out of balance.
Delete an account in General Ledger as follows:
  1. Back up your data files. See How do I use File Tools to back up data files? for more information.
  2. From the Setup menu, select Accounts.
  3. Click List and select the account you want to delete.
  4. Click the Balances tab and verify that the Current balance and Future balance are both zero.
    Note: If you use both cash and accrual accounting, the balances must be zero on both the Balances (Accrual) and the Balances (Cash) tabs.
  5. Click the Activity tab (or tabs if you use both accounting methods). Note whether there is activity in any prior periods.
    Note: If there is activity in prior periods, your ledgers or financial statements will be out of balance when you print them for a prior period in which this account had a balance. If this is acceptable, proceed to the next step. Otherwise do not delete your account.
  6. Click Delete, click Yes, and then click Close.
