| How do I change an existing file location? |

If you change File Locations that affect data files in one or more companies after entering data, this will affect the data in both companies.
For example:
- Posted AP invoices in Company A with no transaction file locations setup in File, Company Settings, File Locations.
- Transactions posted to General Ledger and Job Cost in Company A.
- Then changed file location for GL transactions and GL Master files to point to Company B in Company A, File, Company Settings, File Locations.
- Then paid the same invoices in Company A. Transactions for checks went to Cash Management in Company A and General Ledger in Company B.
- Tried to find check transactions in Company A General Ledger and they do not exist, they are in Company B General Ledger.
Please contact your Sage 300 CRE Consultant for advice if something similar to this has occurred for any application and you cannot reconcile your data.

Cause |
For example, when installing the software, all report designs are installed into a single folder. The default file location is the folder where the reports are located (e.g., C:\ProgramData\Sage\TIMBERLINE OFFICE\9.5\ACCOUNTING). If the Reports file location is removed, the list of available reports in Report Designer defaults to the reports located in the current data folder.

Note: Different folder locations can be used for certain files. Use this feature when there is multiple data folders that should use the same set of files. Then keep that information pertinent to all data folders in one place, and not duplicate the information in several data folders.
WARNING: Once File Locations are set and used in production (with or without a location specified in the Data Folder field), do not change these settings without working with a Sage 300 CRE Consultant as it could result in loss of data.
- From the File menu, select Company Settings, File Locations.
- To have the system prompt you for a file location when accessing the file, select the Ask Name check box.
- To specify a file in a specific location, enter the full folder path to the file in the Data Folder field.
- Click OK.
Notes:
- When the location is left blank, the file type is assumed to be in the current data folder, with the following exception:
- When an EQ Import, JC Commitment-import, or JC DC-import path is blank or invalid, the path entered on the Imports line is used. If that line is blank, the current folder is assumed.
- Use caution when changing an existing file location as this can cause data loss if data has already been posted to that location. See example below in the Additional Information section.
- File Locations for Printouts and Reports are generally ok to change.
- If the data folder is a test folder, make sure the File Locations are not pointing to live data that could be impacted when testing is performed.
