Turn on Audit setup activity to access the Actual dates on a lease
If you accidentally activate a lease in Property Management with incorrect dates, follow the steps below to edit those dates.
- Turn on Audit Setup Activity. Refer to article ID 17021 "DocLink: How do I use Audit setup activity?"
- In Property Management, from the Tasks menu, select Manage Leases, Change Lease.
- If prompted, click Start to print the audit report.
- Select the appropriate Lease from the list.
- On the General tab, select the Dates/Status tab.
- Adjust the dates in the Actual column as appropriate.
- Click Close.
- From the Setup menu, select Units.
- On the Status tab, correct the Move-in and Move-out dates. For new leases, do not enter a date for Actual Move-Out date.
- If there is a date in the Vacancy Loss date, this means vacancy loss entries have not yet been created and you can change this date. If the Vacancy Loss date is blank, vacancy loss entries have already been created (if Vacancy Loss is being tracked). Any corrections to the vacancy loss entries will need to be manually calculated and an adjustment recorded in General Ledger (GL) Tasks, Record Entries.
- Click Occupancy History and correct these dates by deleting incorrect rows and inserting correct rows.
- Turn off Audit Setup Activity. Refer to article ID 17021 "DocLink: How do I use Audit setup activity?"
Note: If you activated the lease too far in the future, the recurring charges for that lease may also have an incorrect date, preventing charges from being created as expected when you process Generate Rent Roll. Delete the recurring charge and set it back up again.
