Cash Management bank account balances are derived as follows:
Register balance
- You can find the Register balance for your bank account on the General tab (Setup, Bank Accounts).
- The Register balance is the total of all transactions entered into Cash Management, either directly, or from interfacing applications. Printing checks in Accounts Payable or Payroll automatically updates the Register balance. Likewise, posting deposits in Accounts Receivable, Job Cost, or Property Management automatically updates the Register balance.
- This should be the Last reconciled balance +/- items with a Reconciliation Status of O or C and includes both posted and unposted items.
Bank balance
- You can find the Bank balance for your bank account on the General tab (Setup, Bank Accounts).
- The Bank balance reflects the balance based on all cleared and reconciled entries in Cash Management. Open transactions are cleared in Edit Register (Tasks, Edit Register), or by Import Cleared Checks (Tools, Import Cleared Checks). Open and cleared transactions are reconciled to the bank statement in Reconcile (Tasks, Reconcile).
- This should be the Last reconciled balance +/- items with a Reconciliation Status of C. If there are no items with a C status, this balance should match the Last reconciled balance.
Last reconciled balance (aka Last statement balance)
- You can find the Last reconciled balance for your bank account on the General tab (Setup, Bank Accounts).
- The Last reconciled balance displays the Statement ending balance (Tasks, Reconcile) from the last completed bank statement reconciliation. This should be the balance that goes with the Last reconciled date (aka Last statement date).
- This balance can only be changed or updated through the Reconcile task.
- Items with a Reconciliation Status of R are presumed to be included in this balance.
Posted (CM) Balance
- You can find the Posted (CM) Balance for your bank account on the Totals by GL Cash Acct tab (Setup, Bank Accounts).
- The Posted (CM) Balance reflects the balance based on all posted transactions.
- This should be the Last reconciled balance +/- items with a Reconciliation Status of O or C and are posted (Posted box is marked on the transaction in CM). This balance does not include the unposted items.
- The Posted (CM) Balance should always equal the sum of the Cash Account totals. If all transactions are posted, the Posted (CM) Balance = Register balance.
Cash Account totals
- You can find the Cash Account totals for your bank account on the Totals by GL Cash Acct tab (Setup, Bank Accounts).
- The Cash Account totals are the amounts posted to the cash accounts in General Ledger.
- The sum of the Cash Account totals should match the Posted (CM) Balance.
- In General Ledger, the Cash Account totals generally should match the Future Balance of the corresponding cash accounts in General Ledger.
Note: Future balance can be seen in General Ledger, Inquiry, Account. If you use the Cash accounting method, add a column for CFuture Balance to see this balance for the cash method. Tip: Before reconciling make sure all transactions are posted in interfacing applications and General Ledger.
Open totals
- You can find the open totals for your bank account on the Totals tab (Setup, Bank Accounts).
- The open totals are the sum of the posted checks, deposits, receipts, adjustments and withdrawals that have not been cleared or reconciled and thus have a status of O.
Unreconciled totals
- You can find the unreconciled totals for your bank account on the Totals tab (Setup, Bank Accounts).
- The unreconciled totals are the sum of the posted checks, deposits, receipts, adjustments and withdrawals that have not been reconciled and thus have a status of O or C.
