Follow the steps below to record a partial EFT payment on an existing invoice. To partially pay a new invoice you must enter the entire invoice in the
Enter Invoices task, post it, and then use the steps below. - From the Tasks menu, select Record Manual/Print Quick Checks.
- Select EFT Payment from the Payment type list.
- Select the Bank account.
- Enter a Reference ID for the electronic payment.
- Enter the vendor and payment information as usual.
- In the Invoice column, click List, select your invoice, and then click OK.
- If you are paying all of the non-retainage and holding back all the retainage, then after you select the invoice, skip to step 12. If you are paying only part of the non-retainage amount, then proceed with step 8.
- Change the amount that prefills in the Amount column to the partial amount that you want to pay.
- Note: The amount you enter is the amount you want to pay, this does not change the actual invoice. The difference between the prefilled amount and the amount you enter will be the balance that is left open on the invoice.
- Press TAB or ENTER on your keyboard until you see the distribution grid.
- Change the distribution amounts for each distribution that you want to partially pay. Enter a zero amount for any distribution that you do not want to pay.
- Notes:
- The amount you enter is the amount you want to pay, this does not change the actual distribution. The difference between the prefilled amount and the amount you enter will be the balance that is left open on the distribution
- If the distribution has retainage and retainage should be held back on this payment, enter or verify the Retainage Held amount. The distribution amount entered to pay less the Retainage Held will be the net pay amount for this distribution. If retainage should not be held back, clear the Retainage Held.
- If the distribution is a credit to reverse another line, setting it to zero will cause an error; it and its balancing line should be left as is.
- Verify the sum of your distribution amounts to pay equals the sum of the invoice amount to pay and then click Accept dist.
- Click Accept invoice.
- Repeat steps 6 through 12 for any additional invoices to be paid with this payment.
- Click Accept payment.
- If you have additional payments to enter, enter the payments then click Finish.
- Click Start to print your journal to a file or printer.
